Job Summary
We are looking for a proactive and organised part-time Administrative Assistant to join our team. The successful candidate will play a key role in assisting with day-to-day administrative duties and complete operational requirements.
Responsibilities and Duties
- General office administration & support
- Create contracts for new clients
- Update client information on CRM (HubSpot)
- Create recurring invoices for clients on QuickBooks
- Collections: follow up on client invoices and ensure payments are received in a timely manner
- Offer client support, overcome obstacles, and negotiate with clients where applicable
- Communicate with clients via phone and email
- Keep track of all company expenses (bookkeeping)
- File company expenses
- Update all necessary spreadsheets daily
- Track employee holiday and sickness
- Other administrative tasks as required (organising photoshoots, placing orders, mailing, etc)
Required Skills
- Familiar with Gmail
- Problem solving and negotiating skills
- Excellent organisational skills
- Excellent written and verbal communication skills
- Legal eligibility to work in the UK
Bonus Experience
- Familiar with accounting software QuickBooks
- Familiar with CRM Hubspot
Hours
- Monday to Friday - 10am-2pm
- 20 hours per week / 4 hours per day
