TITLE:
ADMINISTRATIVE ASSISTANT

REPORTS TO: Vice President, Analytical Development

LOCATION : Stevenage / Ware

DESCRIPTION: To provide a full and confidential administrative service to Vice President, Analytical Development and the department.

Key Responsibilities:

To provide clerical and administrative assistance and perform general admin duties as required. Duties may include:

  • Calendar management, monitoring of e-mails, taking action/responding as appropriate on manager’s behalf when absent.
  • Supporting the Vice President, AD to deliver departmental activities (e.g. Townhalls, Leadership Meetings, Travel, conferences, recruitment, headcount management, regulatory and internal audits) by scheduling, arranging and monitoring diary appointments, using effective time management.
  • Organize all logistics for such activities (visitors, catering etc) whilst adhering to the meetings policies, liaising with internal/ external parties.
  • Liaise with other MDSLT and stakeholder admins in the effective planning and organisation of meeting schedules
  • Arranging meetings (including video and teleconferences)
  • Co-ordinating travel arrangements
  • Assisting with the preparation of documents and presentations, e.g. typing text and tables, transferring documents on networks, powerpoint slides
  • Setting up, posting information on Teams, team sites/sharepoint/intranet, Workplace
  • Be competent in various GSK systems to complete expenses on time, manage invoices and raise purchase orders in CERPS. Managing expenses in Concur
  • Document management, e.g. photocopying, faxing, scanning, archiving, filing
  • General administration, e.g. receiving and making telephone calls, updating organisation charts, maintaining training folders, holiday/sickness records, ordering stationery, correspondence
  • To attend relevant internal and external meetings and courses
  • Mentor, coach, train others on use of internal systems and processes as required
  • To perform any other duties as requested
  • Direct department staff to Centralised Administrative Services / Knowledge Center resources for all other needs
  • Support Site based engagement groups administrative tasks as directed by the Vice President

Why You?

We are looking for professionals with these required skills to achieve our goals:

  • Minimum high school diploma or equivalent plus experience providing administrative support for a R&D department in a large corporation. Higher education advantageous.
  • Familiarity with medical/scientific terminology desirable.
  • Working knowledge of R&D organisation preferred.


COMPETENCIES:

  • Good oral and written communication skills.
  • Demonstrated computer skills including Word, Excel, PowerPoint and Internet/Intranet usage. Microsoft Teams, Teamsites, and OneNote. Knowledge of GSK financial systems such as Concur
  • Ability to work with tight deadlines while under pressure, while maintaining a high level of accuracy, attention to detail and integrity.
