Admin assistant
We are recruiting for a Admin Assistant role based in Swindon (with Hybrid working opportunities)
MAIN PURPOSE OF JOB
To provide consistent and timely administrative support for colleagues across the organisation where required.
KEY RESPONSIBILITIES
Supporting change and providing administrative support in relevant areas of the business as required.
This might include:
- Assisting with the setup of new central organisation
- Assisting with company policies and procedures
- Providing administrative support for meeting arrangements
- Lead responsibility for the delivery of specific tasks
- Attending and participating in meetings for internal cross-team/corporate working groups
- Supporting the delivery of corporate projects
General Support
- Providing admin support for meetings and organising C level calendars
- Monitoring shared mailboxes to ensure that enquiries and requests are dealt with in a timely manner
- Dealing with telephone calls and either responding or passing to colleagues for action
- Scanning and filing papers into the SharePoint system and managing the structure of the filling system
- Recording expenditure for the above activities and allocating to the correct budget codes
- Supporting delivery of corporate change project
- System Administration
- Sales support
- Finance support
- HR support
- Dealing with ad hoc queries/requests for information from colleagues and external sources
- Other activities as required.
Shortlisting Criteria
Essential:
- A minimum of 3 GCSEs (or equivalent)
- Good oral and written communication skills
- Good organisational and inter-personal skills
- Ability to work as part of a team and to deliver against objectives
- Drive, determination, and ability to work flexibly
- Ability to work under pressure and take a positive approach to dealing with problems
- Ability to prioritise and manage own workload
- Self-motivated, enthusiastic, and determined to provide a high-quality service
- Good working knowledge of Microsoft Word, Excel, and Outlook
