Reception Lead/ Administrator
25 hours per week
We are looking for a reliable, enthusiastic person who enjoys being part of a friendly, busy and supportive team in an ever-changing customer/patient service environment.
Your role will ensure a professional and efficient reception service is provided to patients and other visitors both face to face and over the telephone.
Our ideal candidate will possess excellent verbal and written communication skills, be confident, professional and compassionate at all times.
You will monitor and co-ordinate the daily operational work of reception including cover planning, assignment of shift job roles and tasks to receptionists, facilitating good team working and communication. The role involves working in close conjunction with the other Reception Lead and Operations Manager.
Reception
- Direct supervisory responsibility of all reception desk activities, to participate in the recruitment and selection of staff.
- Maintain the effective functioning of the Reception team, to ensure maximum efficiency of staff and to promote and build an effective reception team environment and foster good team working.
- Plan, monitor and review the master reception rota liaising with the other Reception Lead, proactively arranging cover for sickness and holidays.
- Provide cover on reception as required.
- Deliver team and individual training and support to reception staff working in conjunction with the other Reception Lead, Operations Manager, and other members of the team.
- Ensure all reception duties are carried out and report any staff work related performance issues to the Operations Manager if necessary.
- To handle reception queries and situations as they arise.
- Provide a first point of contact with patients aggrieved or wishing to complain ensuring enquiries/complaints are dealt with/ investigated in the appropriate manner following the practice complaints procedure and redirected to the operations manager.
- Handle difficult patients professionally and can liaise with Consultants/Chemists/GP practices etc.
- To identify issues for discussion for the reception meetings, monitor action taken and evaluate effectiveness of consequent action.
- Ensure reception staff always comply with confidentiality guidelines and protocols.
- To be the point of contact for sickness, staff members must contact the Reception Lead who is on shift with them as well as the Operations Manager. Cover should then be organised.
- Ensure all practice protocols and procedures are adhered to and followed stringently by reception staff.
- To open up and close down when required.
Administration Duties
- Dealing with all non-medical problems for GPs as and when required
- Prescriptions
- Monitor and oversee timely action of tasks. Direct workloads to receptionists as appropriate

- Registrations
- Effectively communicate with and promote communication between staff at all levels, communicate with relevant outside agencies, act upon and cascade as appropriate, circulate both emails and all other correspondence in a timely manner
- Embrace change and positively act upon recommend changes. Oversee the distribution of workflow housekeeping, tasks, OOH, using various methods of communication e.g., telephone message, notice boards, website and accurx. Ensure patients are aware of changes such as GDPR, nhs app, medical reports following instruction from the operations manager.
- Ensuring all staff keep reception and waiting room area tidy.
- Ensure posters are up to date in the waiting room, neat and tidy.
Health and safety
- Ensure all reception staff adhere to the practice health and safety policy.
- To report accidents and untoward incidents in accordance with current legislation and practice procedure
Previous medical receptionist/administrative experience is essential.
