Administrative Assistant
Salary £23,000 - £25,000 pro rata
25 days holiday plus bank holidays pro rata
We are looking for an administrative assistant to work in a small, friendly commercial electrical contracting company, based in Chelmsford. You will be a flexible all-rounder, helping us with the day to day running of the office, working under the direction of the Directors.
The hours are Monday to Wednesday, 8am - 4.30pm
Job description
- Answering calls and emails and dealing with enquiries in a professional and timely manner
- Liaising with clients, suppliers and engineers
- Diary management including booking meetings, training, and job scheduling for engineers
- Invoicing & chasing late invoices
- Ensuring the smooth running of the office
- Assisting Directors
- Data entry
- General administration duties
- Basic HR tasks
- Updating and keeping training records including booking training courses
- Filing and scanning
- Organising travel arrangements for staff
- Managing company vehicles including servicing, taxing, fuel cards etc
- Management of equipment sign outs
- Helping ensure compliance documentation is up to date
Skills
- At least 2 years’ administrative experience
- Confident, professional telephone manner & exceptional interpersonal skills
- Excellent written communication skills
- Pro-active and hard working attitude
- Able to communicate effectively with clients, suppliers and employees of all levels
- Proficient in Microsoft Office programs and the ability to quickly learn new software and computer programs. Computer literate
- Exceptional time management and organisational skills and ability to prioritise work and multi-task
- Attention to detail and problem-solving skills
- Ability to work on own initiative as well as part of a team
Job Types: Part-time, Permanent
