The Welsh Translation Service wishes to appoint a full-time Administrative Assistant to join the team. The team provides first class translations for the University, all its colleges and academic departments and professional services as well, along with other colleagues.
We are keen to appoint an enthusiastic individual who excels at operating in a team environment, and who is committed to providing a high quality administrative service to the service and its key stakeholders.
You will be an active member of a team who can work under pressure in a professional manner. You will have excellent planning and organizational skills, and be able to build good working relationships at all levels in an organization.
The post holder will work on a blended working basis, working remotely and from the office in Cardiff at least one day a week. The University is committed to offering such flexibility, where the role and business needs allow, to support a work-life balance.
This is an open-ended, full-time position (35 hours per week).
Salary: £23,700 - £24,533 (Grade 3)

Job Description
Provide comprehensive and professional administrative support to Cardiff University's Translation team.
Duties and Responsibilities
Key Duties
- Be the first point of contact between internal/external clients and the Translation Service
- Keep track of the translation workload, upcoming work, as well as work that has already been received
- Engage with our framework of external translators, allocating work, sending requests for purchase order numbers and receiving invoices
- Log internal and external translation work on our recording system, informing translators/senior translators/head of service of large pieces of work
- Build productive working relationships with key individuals within and outside the organisation
- Keep a monthly record of the service's translation work
- Together with the head of the Translation Service, write annual reports to be presented to senior level stakeholders in the University
- Use your own initiative and problem-solving skills to suggest the most appropriate next step to those who contact the Translation Service, and seek additional information from them when necessary

Person Specification
Qualifications and Education
1. Ability to communicate effectively in Welsh and English, orally and in writing
2. Basic Numeracy and Literacy
Knowledge, Skills and Experience
3. An extremely high standard of organizational and general administrative skills
4. A clear cultural awareness of Wales and the Welsh language
5. Experience of using all MS Office programs including Excel
Customer Service, Communication and Team Working
6. Ability to deal with customers and other employees in a professional manner
7. Ability to record information clearly in order to pass it on to other people
8. Ability to work effectively as a member of a team
Planning, Analysis and Problem Solving
9. Ability to plan, prioritize and organize your own work within agreed timescales
10. Ability to identify problems by taking the first step, and decide which standard procedures and processes can be used to solve them
Desirable Criteria
