The company is a reputable manufacturer of technology products that are distributed into the corporate sector, with a strong historical reputation in the live events industry.
We are now seeking an administrative assistant to work alongside the Operations Manager based in Reigate, Surrey. Initially, you will report into an office in Reigate, Surrey, but following successful probation, you will be able to work from home.
Your key responsibilities will be:

Key Characteristics
We are now seeking an administrative assistant to work alongside the Operations Manager based in Reigate, Surrey. Initially, you will report into an office in Reigate, Surrey, but following successful probation, you will be able to work from home.
Your key responsibilities will be:
Responsible for assisting in the day-to-day running of the office for a team of Sales and Technical Specialists
Tasks to support this role include
- Answering customer telephone calls.
- Passing on information to Management, Sales or Technical Support Teams from these calls
- Supplying information on orders and delivery dates for all customer orders.
- Checking the office emails for information on order lead times and responding promptly
- From time to time you may be asked to provide temporary cover for a personal assistant at the company showroom in London
Administrative Support
Tasks to support our Operations Manager include:
- Assisting with updating the Sales Summary Document
- Processing customer purchase orders using Unleashed inventory software.
- Updating Salesforce where necessary
- Responding with order confirmations for all orders
- Relaying shipping dates and keeping customers up to date on changes.
- Working with the chosen software platform to monitor stock.
- Assisting the Operations Manager to manage inbound and outbound deliveries and liaising with our warehousing facility
- Organising a stocktake day on the 1st of every month with our warehousing facility.
- Administration of Return Merchandise Authorisation (RMA) system including customer liaison and raising credit notes where appropriate
- Ad hoc visits to the warehouse in Reading for administration of monthly stocktakes and help with RMAs
- Sending statements of accounts to customers and maintaining records of outstanding balances
Key Characteristics
- Bright and enthusiastic personality, willing to learn and grow in an established and developing team
- Problem solving and critical thinking
- Excellent keyboard skills and proven experience in the use of Microsoft Word and Excel
- Clear communication skills necessary as the role is at the hub of the administration team
- Adaptable to the needs of a challenging marketplace.
- Good level of all PC skills. Support will be provided for learning the specific systems used by the company
- Professional approach to problem solving.
- Self starter, with mobility and a team player. Wanting to establish/develop their reputation in the AV Industry
- Confident and professional when addressing customers.
- Keen to grow and develop. Personal development programmes are an important part of the UK team
