Job description

The Accounting Admin will play a vital role in supporting various accounting functions, ensuring accurate financial records, and assisting in day-to-day financial operations. This position requires strong organizational skills, attention to detail, and proficiency in accounting principles and software.

Key Responsibilities

Accounts Payable and Receivable:

  • Assist in processing vendor invoices, verifying accuracy, preparing for payments, and tracking status of all invoices.
  • Help in generating customer invoices and monitoring accounts receivable balances.
  • Collaborate with internal departments and external stakeholders to resolve billing and payment discrepancies, including handling correspondence between the Carriers for any issues.

General Ledger Support:

  • Sort and organize Proof of Delivery, (PODs) paperwork numerically by vendor for ease of processing.
  • Review OnTime software (delivery software) for duplicate orders.
  • Provides summary statements to vendors for invoices (billing) issued to vendors
  • Assist in reconciling weekly billing accounts and investigating any discrepancies.
  • Assist in maintaining accurate and up-to-date general ledger records.
  • Support in posting journal entries, including revenue and expense entries.

Financial Reporting:

  • Assist in preparing financial reports, including balance sheets, income statements, and cash flow statements.
  • Help in analyzing financial data to identify trends, discrepancies, and areas of improvement.
  • Support the preparation of monthly, quarterly, and annual financial statements.

Financial Data Entry and Analysis:

  • Assist in entering financial transactions into the accounting system accurately and in a timely manner.

Recordkeeping and Documentation:

  • Maintain organized and up-to-date accounting records and documentation.
  • Assist in ensuring compliance with record retention policies and procedures.
  • Support internal and external audits by providing necessary documentation and information.
  • Stay updated on changes in accounting standards and best practices.
  • Assist in implementing internal controls to safeguard financial data and prevent fraud.
  • Understand and maintain work priorities.
  • Follow all safety guidelines and use appropriate PPE at all times.
  • Additional tasks or duties may be assigned as needed to support the Company’s objectives

Skills / Experience / Required Qualifications


  • High school diploma or equivalent. Diploma in Accounting, Finance, Booking or a related field is a plus.
  • Prior experience in an accounting or finance role.
  • Basic understanding of accounting principles and concepts.
  • Strong attention to detail and accuracy in financial data entry and analysis.
  • Proficiency in using accounting software and MS Office applications, particularly Excel.
  • Knowledge of basic accounting principles and concepts.
  • Excellent organizational and time management skills.
  • Strong analytical and problem-solving abilities.
  • Effective communication skills, both written and verbal.
  • Ability to work collaboratively in a team environment.
  • High level of integrity and respect for confidentiality.
