Administrative Assistant

Contract: 37.5 hours (Monday- Friday 9am to 5pm) 12 month temporary contract

Salary: £20,041.31 ( plus 2% increase from 1st April 2023)

Location: Across Swansea, Neath Port Talbot

Job Purpose:

We are looking for a dedicated administrative assistant with strong administrative and organisational skills to provide support to the First Point of Contact team. Duties will include administrative support, triaging incoming referrals, and liaising with the first point of contact team to arrange initial assessments. Review incoming PPN’s and refer onto the duty workers for further support and communicate with external providers regarding incoming referrals. Inputting data and client information onto the database and ensuring accurate record keeping. The post holder will have a can-do attitude and will be proactive in owning and managing their workload.

Responsibilities:

  • Undertake office reception duties, both in person and on the telephone, including taking messages for other staff, in a courteous and responsive manner.
  • Operate manual and computerised office systems, for example filing papers and maintaining databases.
  • Coordinate incoming PPN referrals
  • Liaise with external organisations following referrals
  • Manage the NEWID assessment inbox and allocate new referral requests to the first point of contact team.
  • Carry out administrative tasks on the WCCIS case-management system in a timely and accurate manner.
  • Input assessments and client information onto the WCCIS case-management system
  • Contact newly referred clients and arrange assessment appointments.
  • Log and record attendance and nonattendance for those who are newly referred
  • Highlight and refer any decisions required outside the scope of this profile to the Treatment Services Team Leader as appropriate.
  • Work in a non-judgemental, anti-discriminatory way at all times. Ensure that services are delivered equitably to all individuals.
  • Must demonstrate empathy towards Adferiad Recovery’s beneficiaries.
  • Provide reception cover across the Western Bay Treatment Services sites
  • Comply with Adferiad’ s policies and procedures, and promote a positive profile of the agency.
  • Maintain confidentiality in accordance with Adferiad’s policy and procedure and with any statutory/contractual requirements.
  • To carry out all other tasks commensurate with the role.

Person Specification:

Qualifications:

NVQ Level 3 or equivalent relevant to a role in Administration is desirable.

Experience of working in an office environment

We ask that applicants have the following knowledge and skills:

  • Ability to use Microsoft Office applications
  • Ability to work as part of a team, demonstrating support to other team members and wider teams
  • Ability to organise own time and work on own initiative
  • Ability to work under pressure and meet deadlines
  • Strong administrative and organisational skills
  • Knowledge of Word Processing and Microsoft Packages, Word, Excel, PowerPoint, Outlook etc
  • Knowledge of legislation pertinent to the role
