Job summary
Southampton Mental Health Division works in partnership with Southampton City Council to offer mental health care and support to service users aged 18 and upwards and we are looking for a competent Administration Secretary to join the West Community Mental Health Team. You will be required to provide a range of administrative provisions to a lively, supportive service who deliver the best possible care for our patient group. You will be a strong, compassionate individual with proven administration skills and an eagerness to learn. You will be required to carry out your responsibilities autonomously as well be a key part of the team and always aims for a high standard of work.
The main function of this role is to support the day-to-day management of a busy administration service. This includes offering support to the clinical team, typing correspondence and reports and entering pertinent information to electronic systems as indicated. You will also be required to answer telephones and act as a first point of contact for patients, carers and other professionals, using excellent communication skills at all times. You will work closely with your administrative colleagues and support the Business Administration Manager for the team to ensure efficient streamlined processes are developed to maximise resource, ensuring deadlines are met.
Main duties of the job
To provide a comprehensive administration service to the clinical team and/or service. The post holder will be responsible for the organisation of their own workload and delegated decisions/actions, as deemed appropriate by the Business Support Manager/Administration Manager.

Job responsibilities
To type correspondence using both copy typing and audio, including letters, minutes, and reports as indicated by the line manager.
Be responsible for administration support to nominated individuals.
To set up office systems and procedures to ensure that all documents can be retrieved easily.
Organising meetings and taking Minutes as necessary, typing and distributing to those appropriate.
To assist in the collection of data for the purpose of audit, research and service performance.
To be able to enter and retrieve information from spreadsheet databases.
To deal with incoming and outgoing mail as required.
Support the clinical team as required in diary management, meeting management, report writing, administering personnel files and taking messages.
Ensure that all typing and administrative duties are completed promptly and efficiently for the clinical team. This will include undertaking own secretarial duties as required.
Assist with subject to access requests as directed.
To support the clinical team in relation to IT equipment provision. This relates to ordering, retrieval on ending of contracts, ensuring an accurate record is kept
Person Specification
Qualifications
Essential
- RSA II or equivalent in typing/word processing
- GSCE in English and Maths
- To be competent in a range of computer software
