Administration Assistant & Mental Health Call Responder
We are looking for a compassionate and committed individual to support call handling and administration tasks for a wellbeing support service.
We are providing adult residents of a housing association with wellbeing and emotional support over the phone. We work with service users to understand more about their problems, connect them with support services, and offer a safe space for them to be listened to. We have experience launching and managing mental health programmes. We welcome and encourage applications from a diversity of backgrounds.
What will you be doing?
- Provide the highest possible standard of customer care and support at all times whilst always giving priority to the safety and security of service users.
- Process referrals received via telephone and email
- Be customer focused, ensuring all interactions are handled in accordance with specified service standards
- Call service users to gather additional information as required
- Coordinate the calendar by organising appointments for service users
- Support Wellbeing Coordinators and team members with relevant admin tasks
- Update data and organise project documents using our online storage systems
- Ensure all information is accurate and, where inaccurate data is provided, chase up and re-enter.
- Ensure compliance with data protection legislation and information assurance policy and procedures at all times.

- Have a can-do, positive attitude, using your initiative to be able to work as part of a team and be able to prioritise your daily duties according to the business needs.
Practical Considerations
Part time: 10-16 hours per work
Salary rate: £10.42 per hour
6 months fixed term contract with the potential to be extended
3 month probationary period
Remote working (Kent or West Midlands based)
What knowledge and experience will I need?
- Good customer service and care skills, with a commitment to continuously improving the service user experience.
- Excellent oral communication and listening skills
- The ability to deal with sensitive matters and an understanding of confidentiality issues including data protection.
- The ability to deal tactfully and sensitively with people experiencing hardship and barriers
- Understanding of mental health issues in the community
- Willingness to learn and develop understanding of mental health and safeguarding
- Experience working in a team
- Experience working or volunteering in community spaces / non-profit environment
- General knowledge of standard administration practices
- Understanding of how local authorities / statutory organisations operate
- Excellent ICT skills, including Google Suite and case management systems
- Highly organised with close attention to detail
- Ability to manage workload and meet deadlines
- Passionate about and tuned into community needs
