Job title: Administration Assistant
Location: Guildford (Fully remote with up to 4 days a month on site)
Hours: Part-time – 10:00 – 14:00 Monday to Friday
Salary: £11,440 based on a 20-hour working week

About Timpi:
Timpi established in 2017 is a Virtual Assistant agency that operates by coordinating a network of skilled virtual assistants (VAs), freelancers and digital nomads, with an emphasis on connecting people.
Timpi provides expert personal assistance to small businesses and individuals through a range of services. We aim to deliver high quality assistance with the reassurance of professional client support and market-leading technology.
About the role:
This is a new and exciting opportunity where the post holder will report directly to the
Managing Director, supporting with clients and VA management. The post holder will support the onboarding of new clients, as well as our internal team of talented VAs.
The individual must have a strong administrative background, and will need to be empathetic, approachable and have strong communication skills.
The successful candidate will be a natural problem solver, confident with their approach, be self-motivated and have a can-do attitude to support the success of the role.
At Timpi, we are big fans of using technology to make work easier and more secure for our
VAs and clients. The successful candidate will need to be tech savvy, and open to trying new technology.
The role will be 100% remote with up to 4 days per month on site when pre-agreed, so the post holder will need access to a dedicated office space at home.
Responsibilities include and not limited to:
Business Support
- CRM Management
- General admin
- Managing the hello@ inbox
- Responding to enquiries
- Supporting the MD with diary management
- Ability to support on a 1-2-1 basis with confidence and finesse
- Daily catch-ups
- Client onboarding
- Assisting with social media and marketing campaigns
- Lead Management
- Ad hoc research projects
- Project management
VA Support
- Support the VA team with monthly catch-ups
- Keep VAs updated with company news
- Compliance checks
- Occasional holiday cover for VAs
- Onboarding new VAs
Client support
- Assist new clients during the onboarding process
- Relationship building with clients
- Ad-hoc task handling to provide emergency cover
Recruitment
- Manage the VA recruitment process
- Review applicants
- Coordinate VA interviews
- Keeping in touch with available VAs in our talent pool
Skills, knowledge and other requirements
- Excellent verbal and written communication skills
- Strong administrative experience with relevant experience working at a similar level
- Strong attention to detail and takes pride in the quality of their work
- Excellent computer skills, including a high degree of proficiency in Microsoft and
Google Drive
- Strong ability to multi-task and an excellent timekeeper
- Able to work virtually and be self-motivated
- Able to work independently, organising and prioritising own workload to set deadlines
- Ability to work effectively as part of a team
- Access to a remote work-space/home office
- Based locally / prepared to travel to the Timpi office based in Surrey
- Available during the working hours 10:00 - 14:00
