Job description
The Travel Office is a busy office within the Estates and Facilities Department helping staff with their Travel to work options and issuing of ID badges. The team provides a wide range of services to both fellow colleagues and patient and visitors and offers a diverse range of opportunities to develop a range of skills to help with career development. Despite the busy environment, it is hoped that the travel Office provides an enjoyable place to work with friendly, knowledgeable, and hard-working staff who have an excellent rapport.

The main responsibilities of the role are providing excellent service to colleagues ( especially those new to the Trust) including the production and issuing of ID badges and access to various areas of the Hospital, advice on travel options and cost saving schemes to help colleagues get to and from work, assessing car park applications and dealing with any problems staff who are unsuccessful with their application may encounter.
Supporting colleagues in different departments throughout the Trust with the booking of pool cars, providing logistical options for equipment moves and storage and the implementation of Doctor, Student and HCA intakes.
Meeting and working with many different staff from Departments across the Trust.
This position will provide valuable experience of many different aspects of the Estates and Facilities Department to help provide excellent career opportunities

- To accurately input all data on to the access control system.
- The issuing of ID cards to the staff members after checking details and processing a system photo of the staff member for the ID.
- To issue car park spaces in accordance with Trust Criteria.
- Add/Remove card access to restricted areas in accordance with management instruction.
- Dealing efficiently with enquiries from staff through direct contact in the Accommodation/Travel Kiosk and telephone.
- Liaise with other Departments/Wards on application queries such as shift times by email.
- Emails to staff requesting that they submit applications and photos for ID and informing them of parking decisions.
- Take on duties associated with Travel Office (issue of Bus passes, cycle shelter keys, travel info and allocation of pool car).
- Take on other duties associated with Travel Office (Notice/information boards kept up to date).
- Promotion of all aspects staff Travel Initiatives and the promotion of Public Transport.
- Complete ESR forms to collect car park/bus pass monies from salary and deal with queries on payments. Input data to ESR system.
