Administration Assistant
SSE Arena, Belfast (BT3 9QQ)
6 month fixed-term contract, 20 hours per week.
£22,500 (Full Time Equivalent) per annum
National Merchandise, a division of the National Ice Centre & Motorpoint Arena Nottingham, are the largest merchandise concession in the UK and Ireland, offering a wide range of services including merchandise development, venue merchandise sales management and live event merchandise sales.
We manage merchandise concessions for both one-off and multi-date events and merchandise sales at live events across venues around the UK and Ireland.
Over the summer months National Merchandise will be working at festivals and other indoor and outdoor events across the UK and Ireland. Festivals include Download, the Isle of Wight, Latitude, Wireless, Parklife and BST to name a few!
Our Administration Assistant will support the Head of National Merchandise and the National Merchandise Area Managers during the summer festival season.
The Administration Assistant role will involve:
- Developing and maintaining excellent working relationships with the National Merchandise Management Team and colleagues within the National Ice Centre and Motorpoint Arena Nottingham.
- Proving the National Merchandise Management team with administrative support including raising purchase orders, purchasing, and liaising with suppliers, compiling weekly reports, diary management and minute taking.
- Ensuring event lists are up to date and accurate and that new shows are added as and when they are announced.
- Arranging and booking travel and accommodation via our Travel Co-ordinator.
- Liaising with couriers in relation to deliveries and keeping the National Merchandise Management Team up to date on the status of merchandise.
- Attending a range of meetings, both internally and externally, which could involve travel around the UK and Ireland.
- Working with the HR Team to coordinate the recruitment of casual staff for the festival season, including advertising, interviewing, and onboarding of new staff.
- Supporting with the rostering of casual staff ensuring that timesheets are submitted and approved in line with our payroll deadlines.
The ideal candidate will have experience of working within a similar role. They will have excellent administration skills and a strong attention to detail.
They will have excellent communication skills, both written and oral, plus the ability to offer an outstanding service to both internal and external customers.
Due to the needs of our business, they will need to be flexible as the role may involve working weekends, evenings, and bank holidays on occasion. The ability to travel across the UK and Ireland would be an advantage.
