Job description
We are a specialist training provider in Kent and Sussex that specialises in Accountancy and Leadership & Management courses and apprenticeships. We are looking for an Administration Assistant to join our team on a permanent basis to help support all business functions.
You will work closely alongside all departments, and managers, in a variety of tasks and responsibilities, with the core focus being on helping support the smooth running of the business on a day-to-day basis. This role will also support the Head of Apprenticeships in onboarding and compliance processes and paperwork.
Your duties/responsibilities will include, but are not limited to:
- Oversight of the apprentice onboarding process, supporting on paperwork and ensuring apprentices are ready to begin by their planned start date.
- Running and providing reports to Senior Management, and employers, on apprentice progress as directed
- Monitoring and communicating with enquiries, and providing assistance on study paths for those enquiring, through to successful booking
- Processing course bookings in line with company processes
- Supporting learners with material and content enquiries, maintaining the online learning system to ensure learners have access to the correct material
- Supporting the apprenticeship team on administration of the EPA process, such as booking professional discussion assessments
- Maintaining in house learner management systems with accurate learner information
- Supporting the tutor team through the set up of classroom and class logistics, as well as the printing and sourcing of course material
- Support in the maintenance of building facilities, such as maintaining sufficient office supplies and restocking of the kitchen and toilet facilities.
- Invigilation and set up of examinations, supporting learners through the booking process as needed.

Key skills/experience:
- Previous administration and office experience is essential with proven independent and team working skills.
- Excellent and professional interpersonal and communication skills to both internal and external stakeholders.
- Highly organised with a good eye for detail, and the ability to manage your time well.
- The ability to work pro-actively.
- Comfortable with working in a small team.
- Good and demonstrable knowledge of Microsoft Office applications, in particular Word, Excel and Outlook.
