Essex Respite & Care Association (ERCA) is a small caring charity providing exceptional mental health support to adults across Essex. ERCA is a unique service which fundraises for an activities budget to enable clients to pursue activities of their interest.

Our mission is to provide high quality support to help people with a mental health diagnosis to build their self-esteem and confidence through the development of skills for living independently, increasing their engagement in the community and breaking their social isolation. Separately, to provide respite for carers allowing them to gain emotional and perhaps physical strength to be in a better position to carry out their caring duties.

We are currently looking for someone to provide administration support for 12 hours per week (Monday, Wednesday and Friday).

Job Purpose:

The purpose of the Administration Assistant role is to support the Managers and carry out the day-to-day administrative tasks for Essex Respite & Care Association.

The Administrator’s key responsibilities include but are not limited to the following:

· Dealing with incoming telephone calls, mail and reviewing the email inbox

· Maintaining an efficient filing system

· Taking and relaying messages

· Create and distribute weekly staff support rotas

· Maintaining staff leave & absence records

· Ensuring all staff DBS/essential documents are up to date per charity policy

· Preparing monthly client invoices and following up arrears

· Checking staff timesheets and expenses forms

· Maintaining and collecting office supplies

· Providing secretarial support to the Managers

· Making appointments

· Arranging meetings and staff training

· Photocopying/Scanning

· Distribution of the ERCA Newsletter

· Distributing promotional material

· Updating client database

· Ensure duty of care and alert Managers regarding any client concerns

· Minute taking

· Banking of cheques
