Job description

We are currently recruiting for a part-time administrative assistant to join our dedicated team at Derby Cathedral. You will work closely with the PA to the Dean and Residentiary Canons, our senior management team, the clergy and other administrative staff to provide a central resource across the whole Cathedral.

Your day-to-day work will involve general office duties including dealing with queries, compiling databases, data input and mailings, and specific tasks working with existing staff and volunteers.

We are looking for someone with versatility and efficiency, who has the ability to prioritise and the tact and diplomacy to work with a diverse range of people as part of a small and flexible team in a busy and dynamic environment.

Principal accountabilities / responsibilities include (but not limited to):

  • Receive and respond to any telephone or email queries effectively and efficiently, relaying any messages as necessary and dealing with enquiries as appropriate.
  • Maintaining and co-ordinating building maintenance, contractors, and service records. Liaising with external service providers and keeping accurate records.
  • Co-ordinate and assist with Cathedral volunteer recruitment.
  • Photocopy long runs of service sheets, leaflets and undertake other copying as required, including mail merging of letters and envelopes.
  • Maintaining any files in good order, both paper and paperless, adhering to and actioning good office procedures.
  • Compilation of databases and their upkeep, including the Cathedral Electoral and Community rolls, providing labels and lists as required.
  • Preparing & maintaining meeting rooms for external and internal meetings, to include the co-ordination of refreshments as and when required.
  • Co-ordinating and liaising with new and existing customers requiring use of the Cathedral Car Park, ensuring the database is maintained and permits and invoices are issued accurately.
  • Calculate monthly and annual visitor statistical information for the Cathedral and maintain accurate records.
  • Be responsible for the preparation for Annual General Meeting. Ensure that all the legal processes are carried out prior to and during the meeting. Identify and organise the various elections, collate the nominations prior to the AGM. Open and close the Cathedral Electoral roll during this period in order. Complete the necessary legal paperwork following the AGM.
