Job Title: Administration Assistant
Location: Head Office ad-hoc support within the homes maybe required
Salary: £23,000 - £24,000
Hours: Average 37.5 hours per week (Monday - Friday) - Ability to be fleixble to the needs of the service
Contract: Permanent

We are looking to recruit a Administration Assistant to provide a high quality and comprehensive administration support for Care Perspectives. Predominately working with the Business Manager. This a varied role.
To be considered for this role we are looking for candidates who have:
- Minimum of 1 years’ experience within an administration role (ESSENTIAL)
Your responsibilities will be:
General
- To ensure effective, timely and confidential administration support to staff and managers as required
- To ensure that relevant records and documents are kept up to date and stored securely and confidentiality.
- Operate in line with company policies and procedures
- Act in line with Health and Safety and Safeguarding standards, report any issues and/or remedy as appropriate.
- Participate in training and take responsibility for personal development
- Carry out ad-hoc tasks as requested by line manager; this may mean assisting within the homes as required.
Administration
- Use a variety of software packages (including Microsoft Word, Excel and Outlook) including in-house systems, to manage data and produce documents
- Deal with telephone and email enquiries in a timely and professional manner
- Organise and store paperwork, documents and computer-based information
- Formulate templates and documents and maintain spreadsheets
- Schedule and attend meetings, create agendas and take minutes as requested
- Diary management
- Liaise with staff in other departments and with external contacts and offer support where required
- Monitor stationery and equipment resources
- Co-ordinate tech support as required
- Assist with company marketing (website/social media)
Finance & Procurement
- Provide support with finance processes (purchase order’s, logging data)
- Carry out petty cash analysis for the homes
- Carry out staff analysis for the homes
- Assist with the recording and analysis of invoices
- Assist with the procurement process for the company
Referrals
- Maintain an efficient referral tracker
- Liaising with internal and external providers
- Sending relevant documentation to potential referral providers
- Ensuring relevant information is received from potential referral providers
QUALIFICATIONS, SKILLS & EXPERIENCE
- At least 1-2 years’ experience within an administration role
- Excellent communication skills
- Good knowledge of administration practices
- Excellent IT skills
- Ability to work independently and as part of a team
- A relevant qualification in administration
