Job Title: Administration Assistant
Location:  Head Office ad-hoc support within the homes maybe required
Salary:  £23,000 - £24,000

Hours:  Average 37.5 hours per week (Monday - Friday) - Ability to be fleixble to the needs of the service

Contract: Permanent

We are looking to recruit a Administration Assistant to provide a high quality and comprehensive administration support for Care Perspectives. Predominately working with the Business Manager. This a varied role.

To be considered for this role we are looking for candidates who have:

  • Minimum of 1 years’ experience within an administration role (ESSENTIAL)

Your responsibilities will be:

General

  • To ensure effective, timely and confidential administration support to staff and managers as required
  • To ensure that relevant records and documents are kept up to date and stored securely and confidentiality.
  • Operate in line with company policies and procedures
  • Act in line with Health and Safety and Safeguarding standards, report any issues and/or remedy as appropriate.
  • Participate in training and take responsibility for personal development
  • Carry out ad-hoc tasks as requested by line manager; this may mean assisting within the homes as required.

Administration

  • Use a variety of software packages (including Microsoft Word, Excel and Outlook) including in-house systems, to manage data and produce documents
  • Deal with telephone and email enquiries in a timely and professional manner
  • Organise and store paperwork, documents and computer-based information
  • Formulate templates and documents and maintain spreadsheets
  • Schedule and attend meetings, create agendas and take minutes as requested
  • Diary management
  • Liaise with staff in other departments and with external contacts and offer support where required
  • Monitor stationery and equipment resources
  • Co-ordinate tech support as required
  • Assist with company marketing (website/social media)

Finance & Procurement

  • Provide support with finance processes (purchase order’s, logging data)
  • Carry out petty cash analysis for the homes
  • Carry out staff analysis for the homes
  • Assist with the recording and analysis of invoices
  • Assist with the procurement process for the company

Referrals

  • Maintain an efficient referral tracker
  • Liaising with internal and external providers
  • Sending relevant documentation to potential referral providers
  • Ensuring relevant information is received from potential referral providers

QUALIFICATIONS, SKILLS & EXPERIENCE

  • At least 1-2 years’ experience within an administration role
  • Excellent communication skills
  • Good knowledge of administration practices
  • Excellent IT skills
  • Ability to work independently and as part of a team
  • A relevant qualification in administration
