Job Title: Admin Officer

Grade and Grade 4 – scp 4 to 9
Hours: 36 hours per week
Range: £25,776 - £27,957
Working Pattern: All year round
Reports to: Strategic Hub Lead Supervises:

Purpose:
To co-ordinate all administrative functions in order to assist in the smooth running of the Children and Family Centre and to maintain accurate accounts and systems of financial control as regards delegated financial duties. As part of your duties, you are expected to work in conjunction with the line manager.
1. To be responsible for assisting in managing the Children and Family Centre office.
2. To assist in the maintenance of the various Children and Family Centre computerised databases of service users and staff.
3. To provide administrative support to the Strategic Hub Lead as required.
4. Financial Administration.
Principle Accountabilities:
1. Responsibility for assisting in managing the Children and Family Centre office, including:
▪ Co-ordinates the admin procedures to ensure office is organised efficiently.
▪ Liaising with Senior Management Team relating to work to be undertaken by the office
▪ Assisting with monitoring the induction of any new member of the office staff.
▪ Organise the administration of new registrations to service and storing relevant information in accordance with GDPR and file retentions procedures. Maintain a filing system of data in paper and digital form.
▪ General word processing.
▪ Provide administrative support in organising safety procedures, including fire drills.
▪ Oversee the general administration of social media platforms, advertising and marketing of user services
▪ Oversee general administration of building repairs and contractors to complete tasks. Ensuring accurate records are kept from compliance managers in relation to Health and Safety.
2. Assisting in the maintenance of the various Children and Family Centre computerised databases of service users and staff information, including:
▪ Maintaining the Local Authority’s database (Synergy) of service users data collection.
▪ Providing assistance with other information databases as required
▪ Assist in keeping accurate records of absences and holiday entitlements for staff team by using wall chart and diary system.
3. To provide administrative support to the Children and Family Centre staff team as appropriate, including:
▪ Assisting team members in some aspects of their role, including contacting parents and other stakeholders
▪ Attending meetings on issues as and when required and taking notes / minutes.
▪ In liaison with the Strategic Hub Lead, maintaining a confidential filing system.
4. Financial Administration.
To be responsible for accounting procedures in the school as regards to
▪ Providing purchase orders for ordering supplies
▪ Maintain an asset register of Children and Family Centre equipment and resources
▪ Children and Family Centre accounting system of orders, paying invoices and placing orders with suppliers
Principle Accountabilities:
▪ To keep a record of expenditures and process payments
▪ To keep record of raising purchase orders and general office income.
General Statements ▪ Required to carry out all reasonable duties and responsibilities of the post in accordance with the Councils’ policies and procedures and standing orders.
▪ All employees are required to declare any conflict of interest that may arise before or during their employment.
▪ Any outside activities, either paid or unpaid, must not in the view of the
School conflict with or react detrimentally to the Authority’s interest, or in any way weaken public confidence in the conduct of the Children and
Family Centre business.
▪ Undergo and meet Children and Family Centre conditions for a satisfactory enhanced DBS check.
▪ Must comply with all equality legislation, policies and procedures; actively promote ways of eradicating and challenging racism, prejudice and discrimination through the Children and Family Centre’s policies and procedures.
▪ To have due regard for safeguarding and promoting the welfare of children and young people, and to follow the child protection procedures adopted by the Southwark Safeguarding Children Board.
▪ Ensuring work is line with the Children and Family Centre's Green
Commitment Policy goals.
▪ Being aware of responsibilities under the Data Protection act for the security, accuracy and relevance of information held and maintained.
▪ Treating all information acquired through your employment, both formally and informally, in strict confidence
▪ To demonstrate a commitment to good customer care.
▪ Any other duties of an appropriate level and nature will also be required.
To contribute as an effective and collaborative member of the Children and Family Centre Team
▪ Participating in training to be able to demonstrate competence.
▪ Participating in first aid training as required.
▪ Participating in the ongoing development, implementation, and monitoringof the service plans.
▪ Contributing to meetings and being a supportive member of the Childrenand Family Centre team.
Job Types: Full-time, Permanent
Salary: £25,776.00-£27,957.00 per year
