Your mission
The first point of contact for all office employees and visitors at front of house reception. Responsible for ensuring the Company operations run effectively and efficiently. To have strong attention to detail, thrive in a demanding environment and have the ability to tackle competing priorities. This position is pivotal to facilitate operational success by providing a wide range of services in a fast-paced, multi-tasking work environment

What you'll do
- Main point of contact at front of house reception where all internal and external visitors will be greeted and assisted in a courteous and professional manner.
- To provide support with administration and ad hoc duties as required
- To primarily support the Office Manager in the London office
- Proactively ensure that the office (and its facilities) is maintained in a clean, tidy and secure condition (eg. empty the dishwasher, daily refill of supplies, clear up/set up the meeting rooms, etc.)
- Maintain a good relationship with internal and external stakeholders (e.g. heads of department, cleaning company, etc.)
- Meeting room management for the office incl. C-level Management
- Create and maintain an electronic filing system for work transparency and efficiency
- Responsible for mail duties, including distributing post/packages to staff, sending mail, booking local couriers, and international shipments.
- Assist with new starters, visitors, contractors, and leavers - in line with security restrictions.
- Assist with office security, alarm systems and evacuation procedures.
- Ensure sufficient stock of office supplies and place orders, including stationery, printer supplies, and kitchen supplies.
- Conduct induction office tours for new starters.
- Assist with on-boarding new hires – desk allocation, new starter welcome email and dietary form.
- Update content in our internal intranet
- Assist the Workplace Manager in coordinating company building management issues and maintenance services. Ensuring maintenance record is kept up to date, followed up and reports filed onto the system.
- Organize company events and workshops i.e. Christmas, summer party, Learning Labs, Content Demos.
- Oversee SWAT (Social, Wellbeing, Action, Team) and ensure Calendar is updated,
- Coordinate and work together on tasks with team members from our offices in the UK, Spain and Germany.
- Working closely with Learning team
- Organize company events, workshops and catering
- Thrive in making the office a pleasant and inspiring place to work.
Additional Duties
- Assisting with administrative duties, processing purchase orders and invoices
- Participation in current department projects and other tasks as required
- Able to pick up new responsibilities from the team / ad-hoc requests
- Working closely with other EAs across the global company

- Ability to work well in a team and individually

- Experience in using Jira is desirable
