About the Role:
We are seeking an Administrative Assistant/Executive Assistant who will be aligned to our EMEA Sales organization. Our Ideal candidate is a team player who is comfortable working in a fast-paced environment, sometimes under pressure, which remaining flexible, resourceful and efficient. You exercise sound judgement in a variety of situations and have strong written and verbal communication skills. You have impeccable organization and attention to detail as well as the ability to maintain balance among competing priorties.
You can expect to:
- Manage calendars across timezones
- Anticipate the needs of the executive and proactively bring the appropriate stakeholders and resources together to make decisions in support of the executive.
- Attend meetings, communicate agendas, take notes, track action items, and hold stakeholders accountable.
- Partner closely with executives, business partners, and executive assistants on cross-functional events and scheduling.
- Assist in coordinating the agenda and presentation materials for senior management team meetings, off-sites, and all-hands meetings.
- The individual must have the ability to work independently on various projects from conception to completion, and must be able to work under pressure, at all times, to manage or work through a variety of activities and confidential matters with discretion.
- Arrange domestic and international travel schedules and agenda preperations
- Manage conference room scheduling where appropriate and work effectively with meeting organizers and office management to efficiently and effectively schedule meetings.
- Be aware of conflicts and adept at keeping leadership team aware of updates and working around conflicts in a proactive and skilled manner.
- Reservations (e.g. restaurants, shows, conferences).
- Assists with company local events & meetings (onsite/offsite conference room reservations, catering, décor, coordination, etc.).
- Mailing and shipping items if required
- Be the point of contact for the EMEA Sales Leadership Team
- Buying gifts and shipping/sending
- Other duties and projects as assigned
What We’re Looking for:
- Exemplary written and verbal communication.
- Demonstrated ability to work independently and prioritize multiple, high-priority tasks.
- Ability to interact with people at all different levels including senior management and executives.
- Unimpeachable judgment and discretion in handling confidential information.
- Flexibility to perform job tasks outside of job description when necessary.
- Strong working knowledge of Microsoft Office Suite.
