Escrick Park Estate
Situated 6 miles South of York, Escrick Park Estate has been owned and managed by the Forbes Adam family for over 350 years. The current custodian is committed to an exciting programme of diversification and conservation to ensure the sustainability of the Estate for generations to come. Over 7,500 acres in size, Escrick Park provides an exceptional environment in which to live, work and play. Estate businesses include agriculture, environmental stewardship, forestry, commercial and residential property lets, the award winning Hollicarrs Holiday Park, an equine course and dog run, renewable energy, and land hire for weddings and events.
The Post
We are looking to appoint an experienced Accounts Administrator to work full time at the main Estate Office, alongside a small but dedicated team. The post holder will work closely with another (part time) Accounts Administrator across all Estate businesses, undertaking a wide variety of accounting tasks and providing support to the Management Accountant and the wider team. The Estate structure is complex, comprising partnerships, sole traders and trusts totalling nine separate sets of accounts, and will demand a high level of attention to detail, multi-tasking and accuracy. The Estate currently uses Farmplan accounts software but is considering moving to a new accounts package in due course.
SPECIFIC DUTIES
Purchases and Expenditure:
· Input purchase invoices
· Maintain purchase ledger, liaise with suppliers/contractors as necessary
· Process monthly supplier payments
· Reconcile monthly credit card statements with invoices/receipts and input to accounts
· Input journals for internal costs/charges
· Process monthly suspense account transactions
· Ensure correct VAT treatment for all expenditure transactions
· Assist the Management Accountant with expenditure analysis
Cash and Banking:
· Input bank transactions for all businesses
· Perform monthly/bi-monthly bank reconciliations, investigating and correcting any differences
· Monthly petty cash reconciliation
· Bank small number of cheques
Sales and Income:
· Raise periodic utility recharge invoices to tenants
· Perform periodic meter readings of properties
· Raise quarterly gas and electric invoices for Holiday Park lodge owners
· Raise other sales invoices as requested
· Maintain sales ledger, liaise with tenants/customers as necessary
· Credit control – chase and follow up outstanding amounts on a regular basis
· Create and issue monthly rent demands to tenants
· Raise annual pitch fee invoices to Holiday Park lodge owners
General:
· Accurate and timely input of all transactions
· Maintenance of complete audit trails and filing systems
· Ensure security and confidentiality of data at all times
The above list of duties is not exhaustive and the post holder may be required to assume other responsibilities within the scope and grading of the post. The duties of the post are very wide ranging and therefore a flexible approach and attitude are essential.
Qualifications/Skills:
· Team orientated personality who can also work on their own
· Someone who thrives on a diverse workload
· Minimum 5 years bookkeeping experience
· Bookkeeping qualification an advantage
· Knowledge of Farmplan accounts software an advantage
· Experience in property an advantage
· Excellent computer skills and willingness to upgrade computer skills as required
· Demonstrated ability to perform multi tasks in an environment where priorities can change rapidly
· Good time management skills and the ability to anticipate and manage a changing workflow
