JOB TITLE: Accounting Assistant, Nova Eye Inc. (Permanent, Full Time)

DEPARTMENT &

LOCATION: Finance Dept. based at 41316 Christy Street, Fremont, CA

REPORTS TO: Chief Financial Officer based in Adelaide, South Australia

ROLE PURPOSE:

The person who fills this role will complete all tasks related to customer invoicing and timely collection of customer payments. Also applying cash to outstanding invoices and assisting with maintenance of tax rates and tax exemption certificates for new and existing customers.

KEY REQUIREMENT – GOOD ENERGY:

Nova Eye has a small management team spread between Fremont (USA), Adelaide (AUSTRALIA) & Dunedin (NEW ZEALAND) and are positioned to execute on several initiatives to materially grow shareholder value. Nova Eye has a “start-up“ feel. The Accounting Assistant will be a key member of a small finance team based in Fremont CA, who will be crucial to the day-to-day finance requirements of the business. We are looking for someone with attention to detail and sound accounting skills but mostly we are looking for someone with good energy, who is highly motivated to contribute as part of a team and to learn new skills.

RESPONSIBILITIES:

Revenue Accounting

  • Daily customer invoicing, approximately 10-20 orders per day using ERP
  • Reviewing of sales orders raised against customer purchase orders for both US and international shipments
  • Troubleshooting and accurate allocation of inventory assisting with sales order’s processed by Customer Support Administrator
  • Assist with new customer setup for US and international customers and perform credit checks

Accounts Receivable

  • Follow up with customers regarding outstanding amounts including all correspondence relating to collections
  • Receive customer payments via ACH, Check and Credit Card and apply cash payments to outstanding invoices
  • Monitor bank accounts for incoming customer payments and notify shipping clerk
  • Provide statement of account to customers as required

Sales Tax Administration

  • Assist with customer onboarding by entering tax rates into accounting software and assisting finance team in maintaining sales tax exemption certificates on file

General

  • Assist with bank reconciliation on a monthly basis
  • Assist with accurate record keeping and maintenance of customer files
  • Promptly manage all customer account queries
  • Other general month end close procedures as required
  • This person will be cross trained as a backup for other finance related roles working as a team within the accounting department
  • Comply with company policies and procedures
  • Perform other duties as required
  • Improvements to internal controls

SUPERVISOR

  • Adelaide based Chief Financial Officer

QUALIFICATIONS / EXPERIENCE

Required

  • Bachelor’s degree in Accounting, Finance, a related field or equivalent practical experience
  • 3 years or more of experience in revenue accounting and accounts receivable
  • Experience with QAD or equivalent ERP system
  • Possess excellent oral, written and interpersonal skills
  • Strong personal computer skills
  • Experience with Microsoft Office (including Outlook, Word, Excel, Access, PowerPoint)

Preferred

  • Certified Public Accountant or Chartered Accountant equivalent
  • Experience working in a medical device company is a plus

  • Must have excellent verbal and written communication skills
  • Must be detail-oriented, highly organized and possess the ability to multi-task
  • Must possess ability to handle all aspects of relationships with internal and external customers as well as staff in multiple locations globally
  • Must possess ability to troubleshoot and adapt to new technologies, systems, and software applications
  • Must possess ability to handle high pressure situations and effectively prioritize workload

COMPENSATION

Hourly rate of approximately $35/hour depending on experience.

COMPANY BACKGROUND:

On 30 June 2020 Ellex Medical Lasers Limited sold the Ellex Ophthalmic Laser and Ultrasound Business to Lumibird of France and changed its name to Nova Eye Medical Limited (ASX: EYE). On 1 August 2020 Nova Eye Medical Limited acquired the Molteno glaucoma drainage device business based in New Zealand. Nova Eye Medical Limited (Nova Eye) owns three businesses in ophthalmology; 1) the Nova Eye Inc “iTrack” business based in Fremont, California that designs, manufactures and sells surgical products for treating glaucoma 2) the Nova Eye Medical “2RT” business based in Adelaide, Australia that has pre-commercial, highly prospective technology for treatment of people with early to intermediate age related macular degeneration and 3) the Molteno glaucoma drainage device based in Dunedin, New Zealand. The markets for Nova Eyes products are large, global and have high potential for growth.
