Job Description: Accounting Associate

Summary: Reporting to the Accounting Manager, responsible for a wide range of support and administration duties for the accounting department. Working independently and/or in a team setting with a focus on commitment to ethical behaviour and promoting professional interactions with colleagues, community partners and all stakeholders. Maintaining professional interactions with colleagues, clients and community partners, means you will always be a good representative of Shelter Nova Scotia.
Responsibilities
General
o Strong knowledge of the policies, procedures, structure, mission, and mandate of Shelter Nova Scotia
o Adherence to a strict policy of confidentiality, code of conduct, policies and procedures
o Abide by Operational Policies and Procedures, the Human Resources Manual as well as applicable legislation
o Ability to remain awake, alert, and vigilant at all times while on duty
o Strong verbal, written and interpersonal communication skills
o Excellent attention to details and organizational skills
Accounting
o Provide support to the Accounting Manager and other finance positions as required
o Responsible for preparation of monthly, quarterly, and yearly financial statements for review by the Accounting Manager
o Prepare and post bank deposits, daily bank transactions and account reconciliations.
o Responsible for all aspects of accounts payable including posting transactions, preparing cheques and online payments, account reconciliations.
o Post and reconcile credit accounts
o Post and reconcile donations and fundraising ledgers for review
o Data entry to support departmental and project accounting
o Maintain a functional filing system and document disposal as per SOP
o Accounts Payable and Accounts Receivable maintenance
o General Ledger Maintenance
o Assist with bank reconciliation preparation for review by accounting manager
o Assist with annual budget preparation
o Assist with annual audit
o Other financial projects as applicable/required
Human Resources
o Cross training with the Human Resource Associate to Assist the Human Resources department with administrative duties, filing and data entry including payroll data entry with Ceridian
o provide support for internal and external recruitment, interviewing, and hiring processes
o Maintain confidential electronic and paper files and records
Occupational Health and Safety
o Be knowledgeable of the Nova Scotia OH&S Act and regulations and abide by same
o Comply with the employee responsibilities as outlined in the Internal Responsibility System for OH&S and cooperating with occupational health and safety initiatives.
o responsible for following safe work procedures; using personal protective and safety equipment as required
o reporting any illness or injury immediately to their manager; reporting unsafe acts and unsafe conditions
Other
o Support volunteer and student placements by modeling professional behavior
o Support new employee orientation and training by assisting with training and knowledge transfer
o Perform other related duties as assigned
Mental, Visual and Physical Demand
· Challenging, fast paced and constantly changing environment, with multiple interruptions and competing demands; requires strong concentration and the ability to focus. Must be able to work independently or on a team and under stressful conditions. Working environment often requires sensitivity, confidentiality and significant degree of visual and mental acuity.
Technical Competencies
· Must hold a Degree in Business Administration or Commerce with a concentration in Accounting or Finance from a recognized educational institution or equivalent combination of education and experience
· Minimum of 3 years related experience
· CPA designation an asset, consideration will be given for designation in progress
· Intermediate level of proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Access) and Financial Edge NXT accounting software
· Certification in the following or the ability to obtain: Workplace Hazardous Materials Information System (WHMIS); Child Abuse Registry check and/or Government of Canada Personnel Screening
· Experience with Financial Edge and Raiser’s Edge software preferred
· Knowledge of provincial and federal employment standards
· Experience working in a not for profit environment an asset
Hours of Work
This is a full-time position of 40 hours per week.
Salary
$50,600 to $62,100 annually
