General Statement
Collects and maintains payroll documentation to ensure that employees are paid in a timely and accurate manner. Analyzes and calculates payroll data in accordance with Federal, State, and Bargaining Unit guidelines. Enters, reconciles, and processes data in payroll systems. Produces and reviews payroll reports for accuracy and performs related work as required.

Duties and Responsibilities
- Collects and maintains annual staffing forms, stipend forms and one-time payment forms for all part-time contracted employees. This includes reviewing forms for accuracy of data including titles, rates, effective dates, budget and payroll accounting. Collaborates with Human Resources and Business Office to ensure accuracy of information.
- Enters and maintains annual staffing, stipend and one-time payment information in the AIM System to be used by Payroll, Human Resources and Business Office for querying and reporting of RTE data.
- Collects and maintains attendance from reporting departments in either paper or electronic format. Analyzes payroll data submitted for compliance with college policies, bargaining unit contracts and government regulations. Works with reporting departments and employees to rectify any discrepancies found in data submitted.
- Provides training to college employees and supervisors in the use of the electronic systems used for the submission of time and attendance data.
- Enters and maintains employee payroll information in payroll systems. Updates data in employee records to ensure proper calculation of wages. (i.e. personal data, rate of pay, tax withholding, deductions, etc.)
- Calculates and inputs reported data in payroll systems. Verifies entered data for accuracy. (i.e. hours worked, stipend pay, etc.)
- Processes/transmits payroll for various employee types.
- Prepares and analyzes various reports using payroll systems and other reporting software.
- Establishes and maintains electronic data collection systems such as Access databases and Excel spreadsheets for fiscal budgetary control, financial reporting, accounting and reconciliation.
- Prepares and completes required reports and supplies information requested from external agencies.
- Confers with agency personnel to resolve accounting discrepancies.
- Contacts technical support to resolve system issues related to payroll processing.
- Assists all members of the college community with questions regarding payroll related issues.
- Attends meetings and/or training sessions as assigned.
- Performs related work as needed to maintain an efficient, organized payroll department and assists with special projects when necessary.
- Supports the AVP of Finance and Comptroller in other business office functions.

Job Requirements:
Minimum Qualifications
- Applicants must have at least (A) one year of full-time, or equivalent part-time, professional experience in accounting or auditing, or (B) two years of full-time, or equivalent part-time, paraprofessional experience in accounting or auditing, or (C) any equivalent combination of the required (A) experience and the substitutions below.
Substitutions
I. An Associate's or higher with a major in accounting, business administration or business management may be substituted for the required (A) experience. *
II. Successfully completed education in accounting or business administration in a recognized business school or school of accounting may be substituted for the required (A) experience on the basis of one year of such education above the high school level for six (6) months of the required (A) experience. *
- Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Preferred Qualifications
- Associate Degree or higher in Accounting
- HRCMS and/or Peoplesoft payroll processing experience
- Experience with the management of labor expenditures via MMARS/LCM
- Knowledge of the Commonwealth Information Warehouse
- Proficient in MS Office (Excel and Access)
- Higher Education Experience
- Excellent oral and written communication skills
