Title | Accounting and Office Services Specialist

Position Summary

Under the direction of the Controller, The Accounting and Office Services Specialist will provide a variety of functional accounting and financial support services and office environment with office services duties. Use initiative and an intermediate knowledge of applicable skills to complete the daily/weekly/ monthly accounting operations, including Accounts Payable, Accounts Receivable and general month-end close activities.

In addition to keeping financial records updated, the Accounting and Office Services Specialist is responsible for supporting the Finance Department by aiding with accounts payable and receivable, disbursements, expense vouchers and receipts and ensuring that all work is submitted accurately and on time to support the achievement of CGS’s business goals. This role will also be responsible for ensuring timely ordering and replenishment of supplies for the organization, managing and distributing incoming office mail and other office duties as needed to support operations.

Responsibilities

  • Prepare accounting related entries to numerous registers, journals, and logs.
  • Regularly maintain detailed reconciliations of all balance sheet accounts.
  • Support accounts payable activities to ensure accuracy and timeliness of invoice creation and entry.
  • Perform monthly bank settlements.
  • Drafts necessary correspondence for vendors, etc.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Order and replenish office supplies through inventory management.
  • Serve as the point of contact regarding specially needed supply requests that are not normally in stock.
  • Manage incoming office mail and distribute appropriately to various departments.
  • Performs other duties as assigned.

Qualifications

  • Bachelor’s degree or equivalent experience.
  • At least two years’ experience in accounting or related field preferably as an accounts receivable or payables clerk.
  • Experience working in the nonprofit sector preferred
  • Familiarity with bookkeeping and basic accounting procedures.
  • Proven experience with Excel for financial analysis and accounting reconciliations.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Ability to read and understand technical forms and financial reports.
  • Strong written and oral communication skills
  • Willingness to establish and maintain effective working relationships.
